Somatic Practice Registration Policies
FOR KATHY L. KAIN TRAININGS
(Effective for all trainings opened for registration after December 1, 2025)
Flu, COVID, and Other Health and Safety Information
For all in-person classes, unless otherwise noted on the “Info for Attendees” page for specific dates, Somatic Practice will observe the following safety measures:
- We will abide by local health guidelines.
- Masks are not required during in-person programs, but you are welcome to wear them if you choose. They are encouraged when flu and COVID rates are high in local communities.
- Please do not come to class if you have symptoms of flu, COVID, or other infectious illnesses, or if your COVID test is positive. (In those cases we will transfer your registration to a future training if possible, or refund your tuition if a future date is not possible.)
Deposits
A deposit of $400 is required at the time of registration to hold space in a training. Payment in full at the time of registration includes this deposit.
For all multi-module classes, this deposit is required only for Module 1, and holds your space for all subsequent modules. For subsequent modules, payment in full is required at the time of registration, and includes this deposit.
Refunds, Transfers, and Cancellations
Students may cancel within five (5) business days after their initial registration and receive a full refund of any tuition paid.
After five (5) business days, a $200 cancellation fee will be deducted from any tuition refunds.
Students may transfer their registration to another scheduled training, on a space-available basis, for a $200 transfer fee, which will be added to the tuition balance due for the new class.
Deposits are NOT refundable, and transfers are NOT possible, after the following dates:
- 90 days before the first module of a multi-module training.
- 60 days before the second and third modules of a multi-module training. (Please review our FAQ page, here, for information about transferring to another cohort after Module 1).
- 60 days before a single workshop.
Students who cancel their registration after the Final Payment deadline OR after receiving video recordings for online classes (whichever is earlier), will NOT receive a refund of any amount.
Payment Due Dates
For multi-module trainings, Early Registration ends 120 days before the start of the first module, and 60 days before the start of subsequent modules. For single classes, Early Registration ends 90 days before the first day of the class. These deadlines are noted on the registration pages for each training.
Full tuition payment is due by the Early Registration deadline in order to qualify for this discount. Regular Registration rates take effect after Early Registration ends, even if the student has previously paid a deposit to hold their space. Instructions for paying tuition balances are available on our FAQ page, here.
Final payment is due 14 days before the start of the module or class. After this date, website registration will close, and new registrations will be accepted only by arrangement. Students who wish to register after the final payment deadline should contact us for assistance. This is also the cancellation deadline – no refunds of any amount will be given for cancellation after this date.
For online classes, students must pay their tuition in full to receive access to any related videos, and links to the online meetings. Videos will be distributed starting 4 weeks before the training weekend, and students should plan to complete 5-10 hours of video review in advance. After receiving access to the videos, students may not cancel for a refund of any kind.
EXCEPTION (for classes with a waiting list): We may make the Final Payment and Cancellation deadline earlier, with notice to all enrolled students via email and on our website. After this adjusted date, registrations not paid in full may be canceled, and no refunds will be given for cancellations. These special measures will ensure cancellations are received in time to offer openings to students from the waiting list.
Waiting Lists
When a training is fully-enrolled, we will start a waiting list for students who wish to be notified if space becomes available. Students may join the waiting list from the registration page for the training.
It is not possible to remain on the waiting list for a class if you also have a confirmed registration for a different cohort of the same class. Students on the waiting list who later enroll in a different cohort will be removed from any waitlists they have joined for other cohorts. This way we can effectively manage and predict our enrollments for all available classes. Feel free to contact us if you have questions about your options.
Students on waiting lists will receive periodic updates via email, and may be asked to confirm their continued interest in attending if invited. We encourage all students to withdraw from waiting lists if they know they will not register for a class if invited.
Invitations to join a class from the waiting list will be sent automatically via email when space becomes available. Invited students will have two business days to register or make arrangements to hold the available space. After two business days, the space will be offered to the next student on the list.
Reminders and Notifications
Students who are registered for a class will receive reminders at the approach of the Early Registration deadline, video recording distribution date (if applicable), the 14-day Final Payment deadline, and any adjustments to the Final Payment deadline that are necessary to manage a waiting list.
Students are responsible for checking their email, including spam folders, for these reminders and notifications.
